Montessori Academy saves significantly by managing casuals with QuickCare

In 2023, Montessori Academy adopted QuickCare’s game changing technology to gain insight and control over casual staff management. It led to Montessori uncovering significant cost savings and efficiency gains whilst benefiting from casual staff and centre management engagement improvements.

More efficient HR operations & communication

The challenges that arose for Montessori Academy as a result of managing this distributed workforce and ensuring staff to child ratios were always met included; very manual processes using spreadsheets, email, SMS and phone, stress from filling last minute shifts and costly agency fees arising from having to fill last minute vacancies due to lack of visibility of Montessori’s own educator talent pool.

HR professional employee engagement is always top of mind and this process was also not a very engaging way to communicate with our staff members. We found that a lot of casuals don’t use email or can’t answer calls, or they don’t use SMS when they’re already working a shift.

Being in the early child education and care sector, we do have a much stronger emphasis on coordinating staffing arrangements and managing casual staffing needs compared to many other industry HR functions. We collaborate widely with all Centre managers to assess staffing requirements and ensure timely shift coverage.

Continuous cost savings benefits

Being able to leverage QuickCare’s technology to provide centralised visibility and allow management of Montessori’s own casual childcare educators and vacant shifts has provided more benefits than originally imagined.

By implementing QuickCare Montessori were able to:

  • load all existing casual staff into one system and connect centre managers directly with casual educators
  • at a glance see shift gaps and offer shifts to QuickCare’s own quality casual educators
  • communicate directly between shift managers and casual educators
  • see vacancies well in advance taking the stress out of last-minute appointments
